Title:  Administrative Financial Coordinator

Location: Dakar, Senegal

IESC is implementing the USAID Youth Development Activity in Senegal. The objective of the program is to provide both technical and social solutions to youth un- and underemployment, ultimately leading to youth’s greater access to productive economic resources and improved livelihoods. The program will achieve this by (1) linking youth to the skills, assistance, and resources needed to pursue employment or entrepreneurship (via self-employment) in agriculture, and (2) strengthening the capacity of local training and service providers so that they can sustainably and effectively deliver improved youth training and support programs. The program prioritizes interventions under two intermediate results:

Sub IR 1: Enhance capacity and increase access to incubators and training centers

Sub IR 2: Increase youth awareness of economic opportunities

The Administrative and Financial Coordinator will support with a variety of financial and administrative activities. S/he will support the Administrative Financial Manager with accounts payable, reconciling vendor invoices, travel reports and advances, and maintaining a consistency and compliant filing system- this includes ensuring grantee files and subaward files are complete and organized. The Administrative and Financial Coordinator will report directly to the Administrative Financial Manager but maintain a line of coordination with the Grants Coordinator.

Tâches et responsabilités

  • Support all aspects of program administration and assigned logistical responsibilities in Senegal, including human resources, property management, transport, and other general services.
  • Support all aspects of financial management in Senegal, including financial systems implementation, budgeting, expenditure tracking, and financial reporting and accounting.
  • Support the preparation of monthly reports of field expenses in Senegal in a timely manner, with full documentation, and according to IESC guidelines.
  • Support the Administrative Financial manager to summarize current financial status by collecting information, preparing balance sheet, profit and loss statement, and other reports;
  • Review financial transactions by auditing documents in accordance with guidance provided by the Administrative Financial Manager;
  • Maintain accurate and organized records for external audit;
  • Resolve administrative problems and inquiries;
  • Maintain office supply inventories and coordinate maintenance of office equipment;
  • Prepare agendas for meetings and prepare schedules, coordinate staff travel plans and make arrangement accordingly;
  • Support the Grants coordinator in processing grant related financial documents, as well as pre-award, implementation, and post award administrative processes;
  • Provides support with file audit preparation.
  • Contributes to team effort by accomplishing related tasks as needed.

Qualifications

  • Demonstrated experience working in administration on donor funded projects, preferably USAID;
  • 3+ years’ experience with administrative and accounting functions
  • Experience with filing and basic office administration
  • Formal course training in relevant field or high school diploma required.
  • Knowledge of Intuit QBO, MS office software, excel, word, and PowerPoint.
  • French Language fluency required.
  • English Language proficiency preferred.
